The role
We are looking for an Executive Assistant, based in Singapore, to provide high‑impact support to two senior leaders at Airwallex.
You will operate as a trusted partner, owning complex scheduling, travel and operational workflows so our leaders can focus on the highest‑value priorities. This is a fast‑paced, highly visible role that requires strong judgment, discretion and an ability to anticipate needs before they arise.
Responsibilities:
Primary Executive support

Manage the end‑to‑end calendar, including complex scheduling across time zones, prioritisation of meetings, and proactive resolution of conflicts.

Coordinate domestic and international travel (flights, accommodation, visas, ground transport), and prepare detailed itineraries and briefing packs.

Drive the leadership cadence: staff meetings, 1:1s, business reviews, offsites and key forums (agenda setting, materials coordination, minutes and action tracking).

Prepare, review and format presentations, reports and documentation for internal and external stakeholders.

Act as a key point of contact and gatekeeper, ensuring effective communication, follow‑through and alignment on priorities and decisions.
Secondary Executive support

Manage calendar and meeting logistics, ensuring alignment with business priorities and coordination with cross‑functional stakeholders.

Arrange travel, expenses and logistics for internal and external meetings, events and conferences.

Assist with document preparation, including meeting materials, follow‑up notes and action item tracking.
Operations, coordination and stakeholder management

Streamline day‑to‑day operations for both executives, identifying opportunities to improve efficiency and standardise processes.

Coordinate and support team meetings, townhalls, offsites and internal events (planning, logistics and post‑event follow‑up).

Manage expense reports, purchase requests and basic vendor or contract coordination in line with company policies.

Build strong relationships with internal stakeholders and other EAs across regions to ensure smooth communication, alignment and information flow.

Maintain a high level of confidentiality, discretion and judgment in handling sensitive information and decisions.

Support ad‑hoc projects and strategic initiatives, including research, data consolidation and preparation of executive updates.
What you’ll bring
-
7+ years of experience as an Executive Assistant, Personal Assistant or similar role, preferably in high‑growth tech, fintech or financial services environments.

Demonstrated experience supporting senior leaders (C‑level, regional heads or equivalent) in a fast‑paced, ambiguous setting.

Exceptional calendar and time management skills, with the ability to balance competing priorities and make sound trade‑offs.

Strong verbal and written communication skills in English; able to interact confidently with senior internal and external stakeholders. Fluency in Chinese would be a plus.

High degree of professionalism, discretion and integrity when dealing with confidential information.

Strong organisation and attention to detail, while still able to move quickly and adapt as priorities change.

Comfortable working across multiple time zones and occasionally outside standard business hours to support critical meetings or travel.

Advanced proficiency in productivity tools (e.g. Google Workspace / Microsoft Office, calendar tools, virtual meeting platforms; experience with expense management tools is a plus).

A proactive, “no task is too small or too big” mindset with a strong sense of ownership and follow‑through.
