What you’ll do
The Executive Assistant will provide support to the Americas-based senior leadership, primarily the Executive General Manager, Americas and VP, Partnerships. Acting as the trusted liaison between these executives and their internal/external stakeholders and teams, you will work to ensure that they are able to focus on priority work by leveraging your exceptional organization, communication, and administrative skills to triage and prioritize incoming requests. The role offers a diverse set of responsibilities, as you will also partner with local and global teams to ensure the smooth running of internal events, launch of new initiatives, and onboarding of new starters; you will also provide contingency support for reception and office tasks, as needed.
This role is based in San Francisco.
Responsibilities:

Manage and coordinate calendars for multiple senior leaders across different time zones

Run team meetings and help with large company meetings such as all hands, offsites etc

Act as the point of contact for internal/external stakeholders requiring time and or action from the respective executives

Proactively coordinate internal and external meetings inc. agenda preparation, venue and technology, documenting minutes, etc.

Confirm travel arrangements, including (but not limited to) flight and hotel bookings, transfers, visa coordination, and other local requirements

Prepare and/or distribute internal communications on behalf of the executives (to include management of team distribution lists)

Coordinate company and team events (e.g., sales kickoffs, EOY parties, etc.)

Assist in preparing documents and presentations

Manage invoices and expenses

Assist with the coordination of new workplace initiatives

Occasionally help with reception, office management, and other project tasks
Who are you
We’re looking for people who meet the minimum requirements for this role. The preferred qualifications are great to have, but are not mandatory.
Minimum qualifications:

5 years of experience in EA/ABP role supporting senior executives
-
Diligence, reliability, and a strong sense of responsibility and ownership–particularly in relation to confidential and sensitive matters

Appetite for new challenges and opportunities
-
Experience fostering a positive, spirited and collaborative working environment
-
Exceptional written and verbal communication skills
-
Familiarity with technologies such as Slack, Google Suite, Confluence, and Zoom
Preferred qualifications:

Experience working in one or more fast-paced entrepreneurial/startup environments

Some familiarity with fintech/financial services companies and industry terminology
